  • How do I get a hotel confirmation number?
  • All hotel confirmation numbers will be forwarded shortly after the online reservation deadline. All reservations for your event are forwarded to the hotel in the form of a rooming list and will be input by the hotel at one time. Hotel confirmation numbers will be forwarded to The Zenith Group once this is done and then we will forward individual confirmation numbers to all those holding guaranteed reservations.
  • When I enter my credit card information to secure a reservation, will my card be charged by you?
  • No. Your credit card information is required only to secure your reservation. This information is then forwarded to the applicable hotel in order that they may guarantee and hold a room(s) for you over your specified stay.
  • What if I need to cancel my reservation?
  • All cancellation requests must be in writing and should be sent to kbroadbent@thezenithgrp.com or inquiries@thezenithgrp.com If you have reserved a block of 9 rooms or more and the entire block is cancelled within 30 days of the intended arrival date(s), you may be charged one night's room and tax by the applicable hotel.
  • What if I have special requests, such as a refrigerator or rollaway bed?
  • You have the option of noting any special requests when you submit your reservation(s) on-line. If there are applicable charges for special requests, they will be noted under hotel information.
  • Why should I book my rooms through The Zenith Group?
  • You can book on-line 24/7. If you are participating in a tournament or special event, your hotel contact information is automatically forwarded by us to the tournament/special event directors, enabling them to reach you if there is a scheduling change or in case of emergency. The rates you receive when booking through us are the lowest possible rates available - whether you are attending a meeting or participating in a tournament. Booking your teams through us also makes you eligible for travel awards sponsored by The Zenith Group.
  • I saw lower room rates on the internet for the same hotel I booked through you, why?
  • In almost all cases, the lower rates you see on the internet are based on availability and/or restricted, i.e., the rate is applicable for a weekend stay only or applies to only one person.
  • I've been given the responsibility of planning our company's next annual meeting. Can you help?
  • Yes, with every phase from planning to execution - including on-site coordination. Contact us at inquiries@thezenithgrp.com or give us a call, (800) 476-0542. We'll research destination sites, secure hotel proposals, and negotiate the following on your behalf: sleeping room rates, food & beverage costs, audiovisual fees, transportation options, off-site functions.
  • Why am I being asked to confirm that my team qualified?
  • Many prefer to reserve their rooms prior to qualifying in order that they may select their first-choice hotel. When you submit that your team has qualified, this will ensure that your block of rooms is not automatically released on the reservations deadline date specified for your tournament.
  • What happens if I confirm my team's qualification to participate in the Nationals if we have not yet qualified?
  • All reserved rooms confirmed as "Qualified" that prove to the contrary may be charged one night's room and tax by the hotel for each room reserved upon cancellation of same. The hotel you have reserved rooms at has been holding these rooms for you in good faith and has turned away other teams/groups based upon the fact that you have guaranteed your rooms and have claimed that your team has qualified to participate in the tournament. We have also been asked to notify the PONY Board of Directors and the Tournament Director(s) of any teams that submit they have qualified for the Nationals when in fact they have not.
  • Who has access to my on-line rooming list?
  • The hotel at which you have reserved your rooms, The Zenith Group, and the Tournament Director(s) will all have access to your on-line rooming list. The only information that will be available to the Tournament Director(s) will be your team name, the hotel you have selected, and your arrival/departure dates and this will be a read-only file. In other words, no one will be able to make any changes to your rooming list other than you. The hotel, of course, will receive your rooming list with credit card information in order to properly guarantee your rooms.
  • Why am I asked to select a password in order to reserve rooms for my team?
  • Your password allows you to not only generate your rooming list, but make any necessary changes at a later date. If you choose to share your password with others, please be advised that they will have the ability to edit/change your rooming list with or without your knowledge/authority. The Zenith Group is not liable for any changes made on rooming lists by you or others on your behalf. The Zenith Group will not make any changes to your rooming list without your written permission.
  • I won't know if my team has qualified until after the reservation deadline date. How do I ensure that the rooms I've reserved for them will still be held?
  • All rooms reserved but not confirmed as qualified will be released at midnight EST on June 15, 2003. If you play in a qualifying tournament after that date, it is strongly suggested that you contact our offices directly via e-mail - kbroadbent@thezenithgrp.com - or toll-free at 1 (800) 476-0542 prior to the deadline date. We will do our utmost to hold your block of rooms until your qualifying tournament date, however, we cannot guarantee your first-choice hotel.
  • Are room types and specific requests guaranteed?
  • We will always communicate your room preferences and requests to the hotel, however, hotels cannot guarantee same. The hotel will make every attempt to accommodate you. As an example, if we guarantee that you will be able sleep four people in a room, your room type may be either a room with two double beds or a king-bedded room with a pull-out. Any specific requests you have and the room you are given by the hotel will depend on what is available at the time you check in.
  • How do I make a reservation?
  • Click on RESERVATIONS on the left side of the page. Click on your event. Click on CREATE NEW ACCOUNT. After entering information in all required fields, Submit. You will then be viewing the Hotel Selection page. SELECT the hotel and Submit. You will then be viewing the page at which you enter your reservation information. Enter your name and names of those sharing with you and your arrival and departure dates. Click on ADD THIS ROOM. If you will be reserving one room, click on FINISHED ADDING ROOMS at this point. If you wish to reserve additional rooms, enter the appropriate information and then click on FINISHED ADDING ROOMS. You will then be viewing the Summary Page. After reviewing your reservation, click on ADD CREDIT CARD INFORMATION under the CC column located next to your reservation information.
  • How do I edit my reservation?
  • Access your account using your password. Click on EDIT next to HOTEL SUMMARY. Click on EDIT next to your Room. Edit as desired and click on UPDATE ROOM, then FINISHED ADDING ROOMS. You will also use this procedure to add additional rooms if needed, change occupant names, and arrival/departure dates.
  • How do I edit my Account information?
  • Access your account using your password. Click on EDIT next to ACCOUNT SUMMARY. Make any necessary changes and click on UPDATE ACCOUNT.
  • Is my reservation guaranteed?
  • If you have entered credit card information, your reservation is guaranteed. You will receive a hotel confirmation number shortly after the online reservation deadline.
